Adkins Music Lessons is four locations and close to 700 active students. Every system on this page runs there right now, on real money and real customers, and has done for months before it was offered to anyone else.

The offer is not software. We install it, we watch it every day, and we tell you what it found.

The systems

01 · Money owed

Money that’s owed to you, but nobody chases

Every month a handful of invoices quietly go unpaid. Nobody notices, because nobody has time to reconcile a payment report line by line. The unpaid ones don’t announce themselves — they just sit there. You chase them awkwardly two months later, or you eat them.

Why it happens — Chasing money is the single most avoided task in a small business. It is uncomfortable, it is manual, and it never makes it to the top of the list.

What we install

A billing follow-up system that reads the payment platform live, four times a month, finds every genuinely overdue invoice, and texts that customer from their own local number with a working pay link. Paid invoices drop off automatically — nobody gets chased for money they already sent.

The part everyone gets wrong

It never texts someone whose invoice isn’t actually late yet. A new customer billed on the 7th does not get a “you still owe us” text on the 8th — that is how you lose a customer you just won. The system enforces a minimum-overdue window, and the last run of the month sweeps up anything still outstanding from any prior month, so nothing is left behind.

02 · Lost leads

Leads that vanish between your website and your inbox

Someone fills out your form at 9pm ready to buy. Something breaks between the form and wherever leads are supposed to land. You never learn it happened. There is no error message for a lead you never knew existed — it just looks like a slow week.

Why it happens — Every signup form has a silent failure path, and almost nobody monitors it.

What we install

Leads sync into your CRM automatically the moment they submit. On top of it, two independent alarms: one fires if a submission fails to land, one checks daily that leads are still flowing end to end. If your form breaks at 2am on a Saturday, you know before Monday.

The original failure alert was pointed at a service that had never been deployed — every alert 404’d and vanished. We found it and rebuilt it. That is precisely the failure this category is about: the alarm was broken, and nobody could have known.

What it’s worth — One rescued lead pays for the month. The real value is knowing the number you are looking at is real.

03 · The watchdog

The system that watches the systems

An automation that breaks loudly is fine. The dangerous one runs green every day and quietly does nothing — an expired token, a disabled schedule, an API that silently started returning empty. It looks identical to a quiet month. By the time you notice, it has been three months.

What we install

Every scheduled system writes a heartbeat on every run. A watchdog reads those heartbeats daily, tests every credential the systems depend on, and texts a human the moment one goes stale or a login stops working. Every system also has a crash alarm pointed at a real phone. A sender without a watchdog isn’t “live” — it’s unmonitored.

This is the reason the audit that produced this page found what it found. In one review we caught a photo system failing half its runs with nobody notified, a monitoring system that had been switched off for nine days, and an alert handler wired to a service that didn’t exist. All three were invisible until something was actually watching.

What it’s worth — This is the difference between automation you can trust and automation you have to check. It is included in every engagement, not sold separately.

04 · Reviews

Reviews you earned but never asked for

You know your service is good. Your Google rating doesn’t say it loudly enough, because asking for reviews feels like begging and nobody remembers to do it. Meanwhile the competitor with worse service and more reviews wins the search.

Why it happens — The right moment to ask is roughly six weeks in — long enough that they love you, early enough that they still remember choosing you. Nobody is tracking that date for every single customer.

What we install

A system that scans your whole customer base every morning, finds everyone who crossed the six-week mark, verifies they’re still actively coming in, and sends one text — one per household, never per child — with a direct review link. It never asks twice. It never asks someone who already reviewed you. It never asks someone who is leaving.

Replies to 5-star reviews post automatically; anything under 4 stars is escalated to the owner with a drafted response before it sits public and unanswered.

What it’s worth — Reviews are the cheapest local advertising there is, and they compound.

05 · Onboarding

New customer signs up, and then… nothing happens

Someone finally books. Now a human has to make the folder, set up the file, share it with the family, add them to the roster, and remember to do all of it correctly on a busy Tuesday. When it is missed, the customer’s first week feels disorganized — the exact week they are deciding whether they made a good decision.

What we install

The moment a first appointment is booked, the system builds their file structure, shares it to the family automatically, and adds them to the active roster. Siblings land in the same family folder instead of creating duplicates. When someone leaves, their file moves to the archive on its own the day after their last appointment.

06 · Call-outs

Staff call-outs handled by text at 6am

A staff member can’t make it. They text a personal phone. That person is driving. Customers show up to an empty room. Nobody has a record of how often this happens, or with whom.

What we install

A call-out form staff can use from a phone. It logs to a tracking table and instantly texts the manager responsible for that specific location — not a group blast. Customers get their own reschedule form instead of phone tag. Every call-out is logged, so patterns become visible instead of anecdotal.

07 · Social

Social media that stops the week you get busy

You post for three weeks. Then a real week happens and you stop. Your page’s last post is from six weeks ago, which is the first thing a prospect sees when they check whether you are still in business.

Why it happens — Posting isn’t hard. Posting consistently, forever, while running a business is nearly impossible without a system.

What we install

Staff drop photos into one folder from their phone. The system picks them up, formats them correctly for each platform, drafts a caption, and puts it in an approval queue. You approve — you never write. Approved posts publish on a schedule, per location. A watchdog confirms the posting actually happened and alerts if the platform connection breaks, which it will.

What it’s worth — The gap between “we should post more” and posting more is entirely operational. This closes it without adding a job.

08 · Closures

Weather closes you and you have to call everyone

Snow day. Every appointment has to move or go remote, one at a time, while the phone rings.

What we install

One form: pick the date, pick the locations. Every affected appointment converts to a video session in bulk, and each one automatically generates its own video link and calendar invite to both sides.

09 · Stale claims

Your website says one thing, Google says another

Your site brags “470 five-star reviews.” Google actually says 473. Nobody notices for six months. Small thing — except the number on your website is the single most-checked trust signal you have, and a stale one is worse than none.

What we install

A weekly check that pulls your live rating and review count straight from Google, compares it against every place that number appears on your site, and texts you the exact correction when they drift apart.

What it’s worth — It permanently closes a class of problem: any number hardcoded in four places on a website will go stale, and you will be the last to know.
